Company IT Budget for 2027: Four Buckets and a Mini Template for a Small Business

September and October are budget-planning season in small companies. And every year the same trap: the company IT budget ends up as a single line called "website and computers", and then every expense is a surprise, there is "no money" for automation, and one failure eats a reserve that never existed. In reality, IT spending is four different buckets with completely different returns. Separate them and planning for 2027 becomes simple. Below: all four buckets, a way to set priorities, and a mini template to fill in.
Company IT budget: four buckets instead of one line
Bucket 1: keeping what works running. Hosting, domains, licenses, a service subscription, small fixes. A good practice: reserve 15-20% of the value of the systems you use per year - we describe it in more detail in our post on app maintenance after launch. If your system is worth PLN 60,000, plan roughly PLN 9,000 - 12,000 a year for its upkeep and small improvements.
Bucket 2: security and backup. Backups with restore tests, updates, two-factor login, a short team training. This bucket "earns nothing" until the day it saves the company. Start with our 60-minute backup audit.

How to set priorities: the pain x return matrix
A simple one-hour workshop. List all ideas and pain points, then score each one on two scales from 1 to 5. Pain: how much does this problem cost us today - in hours, mistakes, stress? Return: how fast will the solution pay for itself? High pain plus fast return goes into the budget first - usually the automations from bucket 3. Plan large investments from bucket 4 in stages: put stage one into the 2027 budget and make the next stages conditional on the results of the first. Such a workshop takes an hour and brings order to the money conversation for the whole year.
Typical IT budget mistakes
- Licenses "just in case" - paying for tools nobody uses. Review subscriptions once a year, ideally before budgeting.
- No maintenance reserve - there is money for the launch but none for the system's life after it. Hence the 15-20% yearly rule.
- Everything in one big project - a single dragging monster can eat three smaller, faster returns.
- No budget owner - without one accountable person the plan falls apart by March.
- Confusing the launch price with the total cost - a system costs the launch plus maintenance across all the years it lives.
A mini IT budget template for 2027
Copy it into your notes and fill in - net amounts, per year:
- Maintenance: hosting and domains ........ ; licenses and subscriptions ........ ; service subscription or 15-20% of system value ........ .
- Security: backup and restore tests ........ ; updates and a security review ........ .
- Automations: project 1, e.g. payment reminders ........ ; project 2 ........ .
- Investments: stage 1 of a new system ........ ; further stages conditional on results.
- Reserve: 10-15% of the sum above for surprises ........ .
The total will usually be higher than intuition suggests - but it is a budget with no surprises in April. And if the total scares you, cut whole items from bucket 3 or 4 instead of shaving a little off everything - it is better to do fewer things, but properly.
