5 Simple Business Automations You Can Set Up in One Day (No Developer Needed)

We are talking about tools like Make and Zapier. They connect the apps you already use: your mailbox, Google Sheets, web forms, the team messenger and cloud storage. You define a rule - "when A happens, do B" - and the scenario runs on its own, at night and on weekends too. 5 recipes: from a web form to a nightly backup
1. A website form feeds a spreadsheet and notifies the team
Tool: Zapier or Make. Steps: every new form entry is saved as a row in a Google Sheet, and you get an email or a message on the team messenger. Setup time: about 1-2 hours. Cost: the free plan is usually enough. Pitfall: the scenario recognizes form fields by their names - if someone edits the form, the automation silently stops working. Send a test entry after every change.
2. Cost invoices from email land in the bookkeeper's folder
Tool: Make. Steps: a mailbox filter catches emails with a PDF attachment and the word "invoice", saves the file into the current month's folder in cloud storage and forwards the message to your bookkeeper. Time: about 2-3 hours. Cost: on the order of tens of zlotys a month. Pitfall: not every PDF is an invoice. Without good filters the folder will also collect offers and terms of service - and your bookkeeper will stop trusting it.
3. A new lead triggers a phone alert within 60 seconds
Tool: Zapier or Make plus a messenger or an SMS gateway. Steps: an enquiry from a form or the sales mailbox instantly becomes a notification for the salesperson and is added to the lead list. Time: about 1-2 hours. Cost: free plan or the price of text messages. Pitfall: an alert nobody owns is just noise. Agree who responds and how fast - a client asking you is usually asking your competitors too.
4. A new Google review notifies the whole team
Tool: Zapier connected to your Google business profile. Steps: every new review lands on a team channel or in an inbox. Time: about 1 hour. Cost: free plan. Pitfall: a notification is not a reply yet. Set a rule that every review - especially a critical one - gets an answer within a day; future clients read replies more carefully than the stars.
5. Key spreadsheets copy themselves every night
Tool: Make with a schedule. Steps: every night the scenario copies your most important files - the price list, the work schedule, the client base - to a second, independent cloud drive. Time: about 1-2 hours. Cost: a few dozen zlotys a month. Pitfall: a backup nobody has ever restored is hope, not protection. Once a quarter, try to restore one file and check that nothing is missing.
