Every growing company sooner or later faces the question: custom software or off-the-shelf? Buy a subscription to a popular SaaS system, or order a tailor-made solution? Both paths make sense - but in different situations. In this article we show when a ready-made tool is enough and when it pays to invest in custom software, and we give concrete decision criteria.
Custom software or off-the-shelf - what's the difference
An off-the-shelf system (SaaS) is software built for thousands of companies at once - you pay a subscription and use ready-made features. Custom software is built around the specific processes in your company - it's your property and does exactly what you need.

When is an off-the-shelf system (SaaS) enough?
There's no point building from scratch what already exists and works well. Off-the-shelf SaaS is the best choice when:
- you need a standard function (email, invoicing, simple CRM, accounting),
- you want to start instantly and test the process,
- your processes don't deviate from the market standard,
- you have a small team and limited scale.
Example: for issuing invoices or running a newsletter, a ready-made tool for a few dozen PLN a month is entirely sufficient. Building it custom would be a waste of budget.
When does custom software pay off?
A bespoke system pays off when the off-the-shelf option starts to limit you. It's worth considering when:
- your processes are unique and no SaaS handles them without workarounds,
- you pay for dozens of features while using only a few,
- you need integrations the vendor doesn't offer,
- you want independence - not depending on an external company's prices and decisions,
- the software is meant to be a competitive advantage, not just a tool.
The classic moment is when the cost of SaaS subscriptions for a growing team starts to exceed the cost of building your own system once. That's where custom software development comes in.
A simple calculation: when SaaS stops paying off
Suppose SaaS costs PLN 60 per user per month. For a 20-person team that's PLN 1,200/month, i.e. PLN 14,400 a year - and the amount grows with every new employee. A custom system for PLN 25,000 - 40,000 then pays for itself within 2-3 years, after which it's practically „free" (apart from maintenance). The larger the scale, the faster custom software wins.
A hybrid solution - often the best
In practice we most often recommend a mixed approach: off-the-shelf for the standard, custom for what sets you apart. Accounting, email or e-signature - SaaS. A key business process, a sales panel, unique logic - custom. We connect them via integrations and APIs. - Does dependence on the vendor bother me? If the system is critical - yes.
- Is the software meant to give me an advantage? If so, an off-the-shelf tool available to everyone won't provide it.
