Assumptions and limits
- We do not suggest specific vendor prices, because price lists change several times a year and differ across plans, countries and negotiated terms. Enter the amounts you actually pay - only those are real.
- The annual price increase defaults to 5%. That is an assumption, not a forecast - check your contracts for how vendors may change pricing and whether you have a frozen rate.
- The comparison against a custom system is a reference point, not a recommendation. Off-the-shelf tools are often the better choice, especially where your process does not deviate from the market standard.
- The calculator does not price the cost of leaving a tool or the risk of data migration - often the largest item when switching.
- Everything is computed in your browser. Your list of tools and amounts is never sent anywhere.
Frequently asked questions
Why is there no built-in price list for popular tools? +
Because it would be untrue. Price lists change several times a year, differ across plans and countries, and large companies negotiate their own rates. Inventing numbers would be worse than omitting them - enter what you see on your invoices.
What do I do with the result? +
Start with categories where you have more than one tool - that is where you most often pay twice for the same thing. Then check tools with low usage: a subscription billed for everyone but used by five people is a classic silent cost.
Is a custom system always cheaper? +
No. Off-the-shelf tools often win, especially with a small team and a standard process. A custom system starts to pay off when you are billed for many users or when the process forces you to bend the company around the tool. Our TCO calculator makes that comparison properly.
Does our tool list go anywhere? +
