System integration cost calculator — what connecting systems really costs

Integration quotes usually go wrong not because of the number of systems, but because of the number of mappings and the sync direction. Two-way data exchange is not twice the work of one-way, because conflicts have to be resolved too. This calculator counts what actually drives the cost.

Integration scope

Count every endpoint: ERP, webshop, warehouse, accounting, courier.

E.g. products, stock levels, orders, invoices, customers - each is a separate mapping.

Synchronisation direction

Two-way sync needs conflict resolution, so it costs noticeably more than two one-way flows.

Quality of the API on the other side
Required data freshness
Does historical data need migrating

Estimate

Indicative cost

PLN 11,520 - PLN 18,432

A range, not an offer. A firm quote follows a conversation about scope.

Effort

10 days

Working days, including testing and go-live.

Mappings to build

3

Systems x data kinds x directions - the real measure of the work.

Monthly running cost

PLN 500+

Monitoring, reacting to API changes on the other side, fixes. With us from PLN 500/month.

How it works

  1. 01

    Describe the system landscape

How many systems you are connecting and how many kinds of data must flow between them. Two different numbers, both of which matter.

  2. 02

    Flag the risk factors

Sync direction, API quality on the other side, required data freshness and history migration - each multiplies the effort.

  3. 03

Read the range and mapping count

You get an estimate in working days, a cost range and the number of mappings to build - worth comparing against what a proposal promises.

Assumptions and limits

  • This is an estimate, not an offer. A real quote requires knowing the specific systems - the same "webshop plus ERP" can mean a week or two months.
  • Days are converted to money at PLN 1,200 per working day. The upper bound is 1.6x the lower one and covers the usual overhead of surprises on the system being connected to.
  • We assume integration through a shared middle layer rather than every system to every other - which is why the number of links grows linearly, not quadratically.
  • The calculator does not price changes inside the source systems. If your ERP does not expose a field you need, adding it is a separate cost on its vendor side.
  • Maintenance is a real line item, not an option: APIs on the other side change without notice. With us it starts from PLN 500/month.

Frequently asked questions

Why is two-way sync so much more expensive? +

Because you must answer what happens when the same record changes on both sides at once. Who wins, what happens to the change history, how to detect an update loop. That is design work that simply does not exist in a one-way flow.

What if the other system has no API? +

It can be done through file exports, direct database access or interface automation, but each is slower, more fragile and more expensive to maintain. The calculator accounts for this with a multiplier.

Is the mapping count a good way to compare proposals? +

One of the better ones. If a proposal does not say how many fields and entities it covers, the scope probably has not been settled and the price will change anyway.

Does the form data go anywhere? +

No. Everything is computed in your browser, with nothing sent to a server.
