Fixed Price or Time & Material? Models of Cooperation with a Software House

Before you sign a contract with a software house, you must answer one question: fixed price or time and material? The billing model affects your budget, flexibility and the level of risk on both sides. In this article we explain both approaches in plain language, show a comparison table and advise when each model works best.

What is Fixed Price?

Fixed Price is a model in which you agree the scope, deadline and amount up front. You pay a specific sum for a predefined product. It is the best solution where the scope is well described and unlikely to change.

Advantages of Fixed Price

  • Predictable budget - you know the final amount before the start.
  • Low risk on the client side - the vendor is responsible for staying within the price.
  • Easy planning - you know when and for how much you will get the result.

Disadvantages of Fixed Price

  • Little flexibility - every scope change means an annex and extra arrangements.
  • Higher base estimate - the vendor builds in a risk buffer.
  • Requires a ready specification - without it, a reliable estimate is hard.

What is Time & Material?

Time & Material is a model in which you pay for the time the team actually works, usually billed hourly or daily. The scope can evolve along the way - ideal when the product is still taking shape.

Advantages of Time & Material

  • Full flexibility - you change priorities and scope as you go.
  • Fast start - you do not need a full specification to begin.
  • You pay for actual work - no risk buffer in the price.

Disadvantages of Time & Material

  • Less predictable total cost - the budget depends on pace and changes.
  • Requires involvement - your decisiveness directly affects efficiency.

Which model to choose?

There is no single right answer - the choice depends on the stage and nature of the project.

When Fixed Price?

  • You have a ready specification and mockups.
  • The project is small or medium and unlikely to change (e.g. a landing page, a simple module).
  • You need a firm amount for a budget or grant.

When Time & Material?

  • You are building an MVP and expect changes after the first feedback.
  • You plan long-term growth of the product.
