B2B Platform for Wholesalers: Off-the-Shelf or Custom?

Your wholesale customers order the way they did ten years ago: by email and phone. Sales reps retype orders into the ERP, mixing up product codes along the way, and the buyer waits until the next day for a confirmation. Meanwhile, your competitors give their customers a panel with individual prices and stock levels, available around the clock. A B2B platform for wholesalers has stopped being a gadget - increasingly, it is the price of keeping your customers. The practical question remains: subscribe to an off-the-shelf platform or build a custom one?
What a B2B platform for wholesalers must include
A B2B panel is not "an online store for companies". Wholesale has its own rules, and four of them are non-negotiable:
- Individual price lists - every buyer sees their own prices and discounts, negotiated with their sales rep, not a public price list.
- Credit limits - control of trade credit and overdue payments before an order enters fulfilment.
- Reordering from history in three clicks - wholesale is repeat buying; the customer wants to repeat the last order and adjust quantities, not browse a catalogue.
- ERP and warehouse integration - stock, prices and documents must flow automatically from systems such as Comarch Optima, Subiekt or enova, the ERPs common in Poland. A panel without integration creates a second, manual job instead of removing one.
Off-the-shelf platforms: when they are enough
Subscription B2B platforms make sense when your process is standard: a catalogue without complex variants, discount-group pricing, one warehouse, typical documents. You get a fast start and a predictable monthly cost. The limits are well known too: fees grow with users or turnover, a non-standard process has to be bent to fit the system, and ready-made ERP connectors are often shallow - they sync products but will not carry your discount or reservation logic. When a custom platform earns its keep
A custom B2B platform wins where your competitive edge lives in a process no off-the-shelf product will handle:
- Product configurators - made-to-measure products, set assembly, cutting to size: the customer builds an order that used to require a call with a sales rep.
- Non-standard quoting - requests for quotation, negotiations, offers valid for a set number of days, multi-level approvals.
- Multi-warehouse - availability and delivery time calculated per location, transfers between warehouses.
- Margins and terms per customer - pricing policy as an advantage: promotions for selected groups, quantity thresholds, individual logistics terms.

Roll out in stages: start with an MVP

How to start the decision
Write down three things: how a wholesale order is taken today, which parts of the process are non-standard, and how many hours a month manual retyping costs you.
