How to Write a Brief and Specification for an App Quote (with Checklist)

A good app specification is the difference between an accurate quote and a shot in the dark. The more precisely you describe what you need, the more accurate the offer you'll get and the fewer costly misunderstandings will arise during the project. The good news: you don't need to know programming to write a sensible brief. It's enough to organize what you already know about your business. Below we show how to do it step by step, with a ready checklist.
Why do you even need an app specification?
A specification (brief) is a document that answers the question: what should the app do, for whom and why. Without it, every developer imagines something different, and quotes differ several times over - because each prices a different scope. With a good specification you:
- get comparable and accurate quotes,
- avoid surcharges for „things that weren't in the agreement",
- have control over budget and scope,
- move from conversation to start of work faster.
What a good specification should contain - 8 elements
You don't need to write a thick document. It's enough to cover eight areas:
- Business goal - what problem should the app solve? E.g. „I want to take online bookings and reduce phone calls".
- Target group - who will use the app? Clients, employees, an administrator?
- Main features - a list of the key things the app should do (e.g. registration, payments, notifications).
- User roles - how does a client's access differ from an employee's and an admin's?
- Platforms - web app, mobile (iOS/Android), or both?
- Integrations - what should the app connect with (payments, invoicing, CRM, courier)?
- Design - do you have a logo and brand colors? Do you prefer a ready template or a custom design?
- Budget and deadline - even rough ranges help a lot to match the solution.

The more concrete, the less room for guesswork - and the more accurate the quote.
Brief checklist to copy

- Business goal - what should change after launch
- Main users and their roles
- List of features (must-have vs nice-to-have)
- Platforms (web / iOS / Android)
- Integrations (payments, CRM, API, other)

- Budget (rough range)
- Deadline (is there a cut-off date)
- What is NOT in scope (also important!)

What to avoid in a specification
- Too general slogans like „a modern app" - it says nothing about scope.
- Describing solutions instead of needs - write „I need the client to change the date themselves", not „make a button in the right corner". The „how" is our job.
- Skipping roles and edge cases - what happens when a payment fails?
- No priorities - if everything is „the most important", nothing is.
